When you register for a program, make a donation, ask for financial assistance, volunteer, join our mailing list, contact us or simply use our website, you may share personal information with us.

We take that responsibility seriously. This Privacy Policy explains what we collect, why we collect it, how we use and protect it, and the choices available to you.

2. Information we may collect

The information we collect depends on how you interact with Beaches Sandbox and may include:

• program registration and participation information;

• information about a child or other participant you are registering;

• donation and tax-receipt information;

• volunteer applications and availability;

• communications, questions and feedback you send us;

We aim to collect only the information reasonably necessary for the purpose we have identified.

We may use personal information to:

• register and administer programs, classes, camps and events;

• communicate schedules, changes, cancellations and other program information;

• process payments, donations and charitable tax receipts;

• manage financial-assistance requests;

• support accessibility and participation needs;

• recruit, screen and coordinate volunteers;

• respond to questions, feedback and inquiries;

• send newsletters and other communications where you have consented or where otherwise permitted;

• understand and improve our programs, services and website;

• maintain appropriate organizational, financial and safety records;

• meet legal, regulatory and charitable-recordkeeping requirements.

If we want to use your information for a materially different purpose, we will seek additional consent where appropriate.

4. Children and young people

Many Beaches Sandbox programs involve children and youth.

We take additional care with information about young people and aim to collect only what is necessary to register them, provide programs safely and communicate with their parent, guardian or authorized caregiver.

Where appropriate, personal information about children is collected from or with the involvement of a parent or guardian.

We do not knowingly use children’s personal information for behavioural advertising or sell information about children.

5. Consent and communications

We seek consent appropriate to the type of information being collected and how it will be used.

You may withdraw consent to optional uses of your information at any time, subject to legal, contractual or operational requirements.

If you sign up for promotional emails or other commercial electronic messages, you can unsubscribe using the link provided in those messages or by contacting us.

Withdrawing from marketing communications will not prevent us from sending information necessary to administer a program, registration, donation or other relationship you have with Beaches Sandbox.

6. Service providers and registration platforms

We use trusted service providers to help operate Beaches Sandbox and deliver our programs and services.

These may include:

• ActiveNet for many program registrations;

• Mindbody for Yoga & Fitness bookings and related services;

• CanadaHelps for online donations;

• website hosting and technology providers such as Firespring;

• customer relationship, email and communication platforms;

• payment processors; and

• other professional or technology service providers.

When information is provided directly to one of these services, that provider’s privacy terms may also apply.

We provide service providers only with information reasonably necessary for the services they perform and expect personal information under our control to be handled appropriately.

Some service providers may process or store information outside Canada. In those circumstances, information may be subject to the laws and lawful access requirements of the jurisdiction where it is processed.

7. When we may disclose information

We do not sell or rent personal information or donor lists.

We may disclose personal information:

• to service providers acting on our behalf;

• where you have asked or authorized us to do so;

• where necessary to administer a program, event, donation or other service;

• to respond to an emergency involving health or safety;

• where required or permitted by law; or

• in connection with an organizational restructuring or similar transaction where appropriate protections are in place.

Our website may use cookies and similar technologies to operate properly, remember preferences, understand how visitors use the site and improve the online experience.
